Privacy notice
Last updated 23 August 2026
This notice explains what personal information SourceDirect collects when you ask us for a quote or buy from us, what we do with it, and the rights you have over it. It covers this website and the way we handle enquiries by WhatsApp and email.
1. Who we are
SourceDirect is a trading name of [REGISTERED COMPANY NAME] Ltd, registered in England and Wales, company number [00000000], registered office [REGISTERED OFFICE ADDRESS, POSTCODE]. We are the data controller for the information described here.
For anything about this notice or your data, contact [email protected], or write to us at the registered office address above.
2. What we collect
| Information | Where it comes from |
|---|---|
| Your name and the business you represent | The quote form, or your first message to us |
| WhatsApp number and email address | The quote form, or your first message to us |
| What you want to buy, quantities, budget, delivery town and timing | The quote form, or the conversation that follows |
| Quotes, invoices, delivery notes and payment records | Created by us as we handle your order |
| Correspondence between us | WhatsApp and email threads |
We do not ask for and do not want payment card details, identity documents, or any special category data such as health information. Please do not send them to us.
3. How the quote form works
The form on our website does not send anything to a server of ours. When you press the button, your browser assembles the details you typed into a message and hands it to WhatsApp or to your email program. Nothing leaves your device until you choose one of those and send it yourself.
This means we only ever receive what you deliberately send, and we receive it through WhatsApp or email rather than through this website.
4. Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Answering your enquiry and preparing a quote | Steps taken at your request before entering a contract, Article 6(1)(b) |
| Sourcing, shipping, clearing and delivering your order | Performance of our contract with you, Article 6(1)(b) |
| Handling warranty claims and after-sales questions | Performance of our contract with you, Article 6(1)(b) |
| Keeping accounting and tax records | Legal obligation, Article 6(1)(c) |
| Following up on a quote you did not respond to | Our legitimate interest in winning business, Article 6(1)(f). Tell us to stop and we will. |
We do not send marketing to people who have not asked for it, and we do not sell or rent anyone's details.
5. Who else sees it
To fill an order we have to pass on parts of it. We share the minimum needed, and only with:
- Suppliers in the UK and EU, so they can prepare and release the goods. They usually receive the order detail, not your contact details.
- Freight forwarders and customs agents, who need the consignee name, delivery address and contact number to move and clear the shipment.
- WhatsApp, operated by Meta, and our email provider, because that is how we talk to you. Their own privacy terms apply to the messages held on their systems.
- Our accountant and, if ever needed, our insurers or legal advisers.
- HMRC and other authorities, where the law requires it.
6. Sending information outside the UK
We operate between the United Kingdom and Zimbabwe, so your details will be seen by our delivery desk in Bulawayo and by customs agents and couriers in Zimbabwe. Zimbabwe is not covered by a UK adequacy decision, so these transfers rely on Article 49(1)(b) of the UK GDPR: the transfer is necessary to perform the contract you have asked us to carry out.
We keep transfers to what the shipment actually requires.
7. How long we keep it
| Record | Kept for |
|---|---|
| Enquiries that did not become orders | 24 months from the last contact |
| Order records, invoices and payment records | 6 years from the end of the relevant financial year, as tax law requires |
| Warranty and after-sales correspondence | For the warranty period, then 12 months |
8. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong;
- delete information we no longer have a reason to keep;
- restrict or object to what we are doing with it, including any follow-up contact;
- send a copy to you or another provider in a portable format.
Email [email protected] and we will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
10. Changes to this notice
If we change how we handle personal information we will update this page and change the date at the top. Material changes affecting existing customers will be sent to them directly.
